Terms & Conditions

General
- We are a smoke/vape free and open flame free environment. Smoking/vaping is permitted outside only. Guests are responsible for missing items from the cottage and will be charged for full replacement value.
- Guests are responsible for damage done in the cottage and will be charged full restoration cost plus any lost revenue from being unable to rent the cottage. Foul smells is considered damage.
- Children of all age are welcome when accompanied by a well behaved parent or guardian and supervised at all times.
- Any guest under the age of 18 cannot occupy the cottage without a parent or guardian.
- Dogs are welcome $50 additional per night per dog and owners are responsible for the well-being of the animals.
- Horses are welcome to bunk in our stables $100 per night per horse.
- Maximum 4 people in cottage.
Breakfast
We typically serve breakfast during the following times:
- Monday through Friday - Continental Breakfast all morning
- Saturday, Sunday - Full Breakfast @ 8:30AM
Our continental breakfast consists of a wide selection of items that vary by day, but typically consists of cold cereal, yogurt, fresh fruit, bagels, muffins and juices. Coffee, tea, hot chocolate are available 24/7.
We do full breakfast quite different from most accommodations. Several days prior to your arrival date, we send you a breakfast selection email with a link to our breakfast page. We prepare, plate and serve your breakfast choices individually for each guest based on what each guest specified as a simple reply to the breakfast selection email.
If we are offering full breakfast for particular days, this will be noted on the breakfast page.
Payment
- A valid credit/debit card is required to hold the cottage. We may run a special validation of $1.00 against the card which is removed after a couple days automatically by your card issuer.
- We accept cash and most major credit and debit cards. Cards that require a PIN are NOT accepted.
- Full payment is required at the time of check-in. We reserve the right to charge the card in full on the day of check-in prior to arrival with your approval.
- Reservations for 4+ nights may require a non-refundable deposit of 25% 14 days prior to the scheduled check-in date. If a non-refundable deposit is required, this will be communicated to you in advance.
Cancellation Policy
The following cancellation policy is strictly observed:
- Requests 7 days prior to the arrival date are accepted without penalty.
- Requests within 7 days prior to the arrival date are charged 50% of the total price to the payment method on file and the cottage night(s) are immediately released for rebooking.
- No shows are charged the total price to the payment method on file and the cottage night(s) are held open for you should you show.
- Cancellations and modifications made by you are not considered confirmed until you receive confirmation by us either via telephone, email or text.
- If any add-ons were requested and already purchased by us, you are responsible for 100% of the add-on prices and you agree that they become the property of the innkeepers.
Modification Policy
The following reservation modification policy is strictly observed:
- Modifications to the number of guests are allowed without a fee.
- Adding cottage nights are allowed without a fee.
- Removing cottage nights are considered a cancellation for the removed cottage nights and follows the Cancellation Policy for the total price of the removed cottage nights.
Check In / Out
- Check-in time must be prearranged and typically between 3:00 PM and 9:00 PM.
- Early and late check-ins available if prearranged and approved
- Note that the B&B is not always staffed, so communicating your estimated arrival time is very important to us during your travels
- Check-out time is by 10:30 AM
- Late check-out may be available if prearranged and approved
Reservations
- $275/ Night. Two night minimum stays are required. If you have questions, please call us.
Discounts
- Only one discount or promotion may be applied for each reservation.
- No discounts or promotions can be applied for any:
- Hawk River Ranch Add-ons, Packages, Specials or Gift Certificates
- Payment made with a donated Gift Certificate from Hawk River Ranch
- Reservations made via a 3rd party booking website/agency
Emails
- Our system is setup to communicate by email regarding your reservation. Please make sure info@HawkRiver.com is added to your address book/safe list/approved sender for your email application to ensure proper delivery. We ONLY send reservation related emails - never SPAM or newsletters. For each reservation, you should expect to receive the following:
- Confirmation Email - Immediately after the reservation is made. If you do not receive this, the reservation has not be completed or it has be caught up in your SPAM/JUNK folder.
- Reminder Email - About 14 days prior to your arrival. This will remind you of your upcoming stay.
- Breakfast Selection Email - About 7 days prior to your arrival. This will remind you that you need to provide us your breakfast selections if you are staying on a night that we are serving full breakfast the following morning.
- Welcome Email - About 3 days prior to your arrival. This will confirm your estimated arrival time, provide contact information, directions and suggestions.
- Thank You Email - Sent out a few days after your checkout date.
- If your reservation is a surprise and you have special communication requirements, please contact us prior to making the reservation.
Text Messages
- We try to communicate by email, but if we fail to hear back from you, we may attempt to send you a text message to the number on file. Our text number is (310) 890-9126.
